The Banquet/Event Captain is the driving force behind every unforgettable event at Black Rock Mountain Resort. ESSENTIAL FUNCTIONS:
- Participate in the hiring, training, and scheduling of banquet staff in collaboration with management, and ensure training programs are implemented and measured regularly
- Attend designated meetings including BEO, staff, and training sessions, as well as menu and wine tastings
- Collaborate with catering and sales managers to ensure client needs are met, and proactively suggest improvements to banquet service procedures
- Review Banquet Event Orders (BEOs) in advance, meet with the group contact to verify all details including timing, locations, and offerings, and serve as the primary point of contact for event clients and guests throughout the event
- Communicate setup requirements, timing, service expectations, and detailed assignments to staff through pre-shift meetings and written timelines prior to each event
- Liaise with the kitchen to confirm menu execution, equipment needs, delivery times, special arrangements, additional meal requests, and proper return of unused food after service
- Check bar setups for cleanliness, organization, and alignment with the BEO and DABS compliance standards
- Inspect all table settings, linens, china, glassware, silverware, condiments, and decor for correct placement, cleanliness, and condition, and ensure buffet and food service tables are properly set with polished chafers, utensils, base plates, and labeled food items
- Ensure all functions are fully set with food, beverage, and staff prepared within the established timeframe, and monitor the proper sequence of service throughout each event
- Monitor food and beverage quality, presentation, and replenishment throughout the event while maintaining constant communication with guests and the on-site contact to ensure all expectations are exceeded
- Monitor staff performance across all phases of service, troubleshoot issues in real time, and resolve guest concerns with professionalism and urgency
- Coordinate concessions operations including staffing, inventory, and guest flow
- Ensure compliance with health, safety, and alcohol service standards
- Direct final breakdown of function rooms, ensuring all china, glassware, silverware, linens, and decor are returned to their proper locations, and maintain clean and orderly back-of-house, pre-function, and storage areas
- Process banquet checks in the POS system, complete alcohol and on-consumption forms, finalize daily tip distribution, and verify staff hours in related systems
- Complete post-event reports, communicate follow-up items to management, and submit maintenance work orders through HotSOS as needed
- Assist with other Food and Beverage outlets as needed and track event inventory, supplies, and equipment, flagging any shortages or damages
REQUIREMENTS:
- Minimum 2 years of banquet, catering, or event service experience, with at least 1 year in a supervisory or lead role
- Strong knowledge of banquet and event service standards and procedures
- Food Handlers & Alcohol awareness certifications (or ability to obtain upon hire)
- Excellent communication and interpersonal skills with a guest-first mindset
- Ability to use a computer and basic Microsoft Office products: Outlook, Word, and Excel, etc.
- Ability to lead a team in a fast-paced, high-volume environment
- Flexible availability including evenings, weekends, and holidays
- Proficiency in reading and executing Banquet Event Orders (BEOs)
- Experience with concessions operations is a plus
PHYSICAL REQUIREMENTS:
- Ability to stand and walk for extended periods during an entire shift
- Ability to lift and carry up to 50 lbs regularly
- Must be able to bend, stoop, kneel, and reach as needed during setup and breakdown
- Ability to work in varying indoor and outdoor conditions including cold, heat, and varying weather
- Manual dexterity required for handling equipment, linens, and food and beverage items
- Ability to work at a fast pace for sustained periods of time
