The Opportunity

The CEO’s job is to lead the company, serve our clients, create thought leadership, build relationships, and drive growth. Your job is to create the capacity for her to do that at the highest level.

This is a hybrid role combining executive support with hands-on marketing coordination and execution. You’ll become a trusted partner to the CEO, helping organize priorities, manage a fast-moving calendar and inbox, coordinate travel and commitments, and make sure important details don’t fall through the cracks.

You’ll also help turn the CEO’s ideas, expertise, speaking, content, and relationships into consistent marketing activity. That means coordinating content, supporting social media and email marketing, managing speaking and podcast opportunities, keeping marketing projects organized, and helping ensure great ideas actually make it out into the world.

The right person is exceptionally organized, proactive, resourceful, tech-savvy, and a strong communicator. You think several steps ahead, have a natural instinct for what needs to happen next, and get genuine satisfaction from making things work better.

What Success Looks Like

Success isn’t measured by how many meetings you schedule, emails you answer, or marketing tasks you complete. It’s measured by the leverage you create.

Within six months:

  • The CEO’s calendar, inbox, travel, meetings, and commitments are organized and proactively managed.
  • The CEO walks into important meetings, calls, events, and speaking engagements prepared because the details and materials are already handled.
  • Important commitments and follow-ups don’t fall through the cracks because someone is tracking what needs to happen next.
  • Marketing activity is organized around a clear calendar, with content, emails, social posts, podcasts, speaking opportunities, and campaigns moving forward consistently.
  • Ideas and raw content from the CEO are efficiently turned into finished marketing assets with minimal friction.
  • The CEO spends significantly more time on the work only she can do and far less time coordinating everything around it.

Within the first year, you’ve become a trusted right hand who understands the CEO, the business, the brand, and its priorities well enough to anticipate needs before they arise.

Primary Responsibilities

Executive Partnership

Maintain visibility into the CEO’s priorities, commitments, calendar, meetings, travel, and key initiatives so you can anticipate needs and ensure nothing important is overlooked.

Manage a complex calendar with strong judgment about priorities, protecting time for the CEO’s highest-value work while coordinating client calls, internal meetings, speaking engagements, podcasts, travel, and other commitments.

Manage and organize the CEO’s inbox and correspondence, identifying what needs her attention, what can be handled independently, and what requires follow-up.

Prepare agendas, briefing materials, presentations, background information, and meeting notes so the CEO arrives prepared and leaves with clear next steps.

Coordinate travel end-to-end, including flights, hotels, ground transportation, itineraries, event logistics, and the countless details that make frequent travel run smoothly.

Track commitments, decisions, introductions, and follow-ups so conversations consistently turn into action.

Marketing Coordination & Execution

Help maintain and execute the Limitless marketing calendar across email, social media, events, speaking, podcasts, partnerships, and campaigns.

Work closely with the CEO and marketing resources to turn ideas, presentations, podcasts, articles, and other thought leadership into usable content across multiple channels.

Coordinate social media activity, including preparing and scheduling posts, organizing content assets, and helping maintain a consistent publishing rhythm.

Support email marketing and campaigns, including coordinating copy, links, graphics, lists, scheduling, testing, and deployment.

Manage speaking and podcast opportunities from invitation through completion, including scheduling, bios, headshots, session descriptions, promotional materials, prep calls, logistics, and follow-up.

Help keep the website, speaker materials, bios, presentations, testimonials, and other marketing assets current and organized.

Coordinate with designers, contractors, partners, and other outside resources to keep marketing projects moving.

Track marketing commitments, deadlines, deliverables, and results so the team has clear visibility into what’s happening and what comes next.

Communication & Coordination

Serve as a key coordination point between the CEO, internal team, clients, partners, event organizers, podcast hosts, vendors, and other external relationships.

Draft and edit correspondence, marketing communications, presentations, documents, and other materials while learning to reflect the CEO’s voice and the Limitless brand.

Turn conversations into execution by documenting decisions, identifying next steps, assigning ownership, and following through.

Maintain organized files, records, contacts, marketing assets, templates, and documentation so information is easy to find and use.

Look continuously for opportunities to simplify, automate, organize, or improve how work gets done.

Who You Are

You’re the person who naturally creates order where other people see a dozen moving pieces.

You’re an excellent communicator and a strong writer. You’re comfortable taking rough ideas and helping turn them into polished execution without losing the original voice or intent.

You’re technologically confident and curious. New platforms don’t intimidate you, and you’re interested in how AI, automation, and better systems can eliminate unnecessary work.

You have high standards without needing everything to be perfect. You understand the difference between something that deserves another hour of attention and something that simply needs to get done.

You’re comfortable working with a fast-moving, entrepreneurial CEO who generates a lot of ideas, moves quickly, and expects the people around her to take ownership.

Most importantly, you find genuine satisfaction in creating leverage. When the CEO and team are accomplishing more because you’re there, you know you’re doing your job well.

Qualifications

We care as much about how you operate as the titles you’ve held.

The ideal candidate will bring:

  • 5+ years of experience supporting a senior executive, founder, entrepreneur, or leadership team.
  • Exceptional organizational, planning, and follow-through skills.
  • Excellent written and verbal communication.
  • Strong judgment and discretion with confidential information.
  • Demonstrated ability to manage multiple priorities without dropping details.
  • Experience coordinating marketing, content, social media, email campaigns, events, or similar activities.
  • Strong proficiency with Google Workspace and modern productivity and marketing tools.
  • Comfort working with platforms such as Asana, CRM and email marketing systems, social media platforms, Canva, AI tools, and automation technology.
  • A proactive approach to solving problems and improving processes.
  • Experience in financial services, coaching, consulting, or another professional services environment is helpful but not required.
