About Canyons Village Management Association (CVMA)
Canyons Village Management Association, Inc. (CVMA), established in 1999, is the master association for the Canyons Village Specially Planned Area (SPA) in Park City, Utah. CVMA oversees the development, aesthetics, and operations of Canyons Village at Park City Mountain, one of two base areas at the largest ski resort in the United States. This vibrant, guest-centric destination offers world-class skiing, snowboarding, hiking, biking, dining, shopping, and entertainment, all within a walkable village just 35 minutes from Salt Lake International Airport.

Position Summary
The Accounting & Office Administrator works closely with the Financial Controller to support Accounts Receivable and Accounts Payable functions, while also providing administrative and office support as needed to ensure smooth day-to-day operations.
Job Responsibilities
Accounting:
- Manage process of vendor invoice review and expense coding; monitor variances from budgeted amounts and notify department head.
- Enter Accounts Payable invoices and prepare the proposed payables report.
- Maintain Accounts Receivable tracking of unreported, reported, unpaid, and paid items.
- Assist with execution of the organization’s collections policy.
- Support the collection of assessments and maintain accurate membership records
- Input credit card transactions and compile month-end statement packet with supporting receipts.
- Generate and distribute monthly AMA dues invoices.
- Assess finance charges on delinquent accounts.
- Generate and distribute weekly delinquent dues statements.
- Assist in responding to member inquiries regarding billing and statements.
- Record payments in QuickBooks and prepare weekly deposits for Financial Controller approval.
- Process of check and ACH payments.
- Compile bi-weekly A/R summary reports, noting required actions for each delinquent account, and advise the Financial Controller of overdue account status.
- Assist in maintaining current Certificates of Insurance (COIs) for vendors with significant risk exposure.
- Assist in collecting and maintaining current W-9 forms for all vendors.
- Maintain Accounts Payable vendor files and payment records.
- Assist in maintaining accurate customer payment records and tracking bank deposits.
- Assist the Financial Controller with annual financial audits.
- Regularly interact with management, sub-associations, property owners, and other stakeholders in a professional manner.
Administrative Responsibilities:
- Perform general office and front desk duties, including greeting guests, answering and directing phone calls, taking messages, and supporting day-to-day administrative operations.
- Receive and distribute mail and deliveries.
- Provide administrative support to CVMA staff.
- Assist with planning and scheduling meetings, conference calls, and occasional meal coordination.
- Maintain clean, safe and professional common areas and conference rooms.
- Order office supplies and miscellaneous items as needed.
- Coordinate office vendor services.
- Schedule and coordinate board meetings.
- Record and maintain board meeting minutes.
- Maintain CVMA documents and electronic databases.
- Perform other duties as assigned.
Required Skills and Qualifications
- Demonstrates professionalism and effective communication skills.
- Highly detail-oriented with the ability to prioritize tasks, stay organized, and manage time efficiently.
- Advanced computer proficiency and strong data entry skills, with the ability to process high volumes of transactions accurately and efficiently.
- Proficiency in QuickBooks (A/P and A/R functions) and Microsoft Office Suite, including Word, Excel, and Outlook, as well as Adobe software.
- Minimum of 3-5 years of experience in similar accounting or bookkeeping roles, with demonstrated proficiency in Accounts Payable, Accounts Receivable, account reconciliations, and month-end support within a professional office environment.
