Job Description

PC Tots is a non-profit organization dedicated to providing high quality, affordable, and safe childcare and early education for the workforce of Park City and greater Summit County, Utah. PC Tots has a critical mission of having a diverse socioeconomic and cultural blend of children, leading to rich community building and social equity from a young age. We are seeking a passionate and effective leader to serve as Executive Director.

The ideal candidate will use a strategic mindset to drive the future success of the company by aligning teams under one vision. With responsibility for all program areas, this candidate will execute all areas of need for the organization including management in the following areas: fiscal, operational, program development, community relations, resource development and board relations. 

Leadership & Management: Ensure ongoing programmatic excellence, rigorous program evaluation, and consistent quality of finance and administration, fundraising, communications, and systems; recommend timelines and resources needed to achieve the strategic goals.

  • Lead, coach, develop, and retain PC Tots management team including, the Business and Development Manager, Program Director and Center Leadership team including the Professional Development Coach and Center Director. 
  • Oversee hiring and retention of competent, qualified staff.
  • Assure compliance with all Utah State child licensing requirements which includes ultimate responsibility for each center’s physical condition and compliance with all health and safety issues. 
  • Responsible for maintaining management records in accordance with human resource best practices in coordination with the Business and Development Manager. 
  • Responsible for signing all legal notes, agreements, and other instruments made and entered into and on behalf of the organization.
  • Implement strategic planning to ensure that PC Tots can successfully fulfill its mission into the future.
  • Responsible for the enhancement of PC Tots’s image by being active and visible in the community and by working closely with other professional, civic and private organizations.
  • Serve as a dynamic and passionate public spokesperson for PC Tots and its place in expanding social equity through subsidized early childcare. 
  • Actively engage and energize volunteers, board members, committees, partnering organizations like the Early Childhood Alliance, and funders for mutual benefit including membership on committees advancing quality early childcare, early education, and social equity. 

Board Governance: Develop, maintain, and support a strong Board of Directors; drive committee progress with members; seek and build board involvement with strategic direction. 

  • Lead Board members and committees to strengthen engagement and involvement with governance, fundraising, and advocacy.
  • Responsible for communicating effectively with the Board and providing, in a timely and accurate manner, all information necessary for the Board to function properly and to make informed decisions.
  • Assist the Board of Directors to become dynamic community advocates for PC Tots in an effort to build community awareness and strengthen financial support. 

Financial Performance and Viability: Develops resources sufficient to ensure the financial health of the organization.

  • Responsible for the fiscal integrity of PC Tots, to include submission to the Board of a proposed annual budget and monthly financial statements and dashboard, which accurately reflect the financial condition of the organization.
  • Responsible for fiscal management that generally anticipates operating within the approved budget, ensures maximum resource utilization, and maintenance of the organization in a positive financial position.
  • Oversee and work with the auditor on annual audits and assure long-term financial sustainability of the organization. 
  • Develop and manage a major gift program and prospect portfolio in an effort to strengthen individual major gifts. 
  • Steward major gift donors throughout the year with consistent communication and messaging, and individual attention, in coordination with the Board of Directors. 
  • Act as a fundraiser in partnership with the Business and Development Manager to meet or exceed strategic fundraising goals and objectives.
  • Responsible for overall fundraising operation and developing other revenues necessary to support existing operations while retiring debt.
  • Ensure effective systems to track scaling progress, and regularly evaluate program components, so as to measure successes that can be effectively communicated to the board, funders, and other constituents.

Professional Qualifications Needed  

  • A bachelor’s degree. Master’s degree preferred.
  • Transparent and high integrity leadership.
  • Four or more years senior nonprofit management experience.
  • Experience and skill in working with a Board of Directors.
  • High level strategic thinking and planning. Ability to envision and convey the organization’s strategic future to the staff, board, volunteers and donors.
  • Ability to effectively communicate the organization’s mission to donors, volunteers and the overall community.
  • Demonstrated ability to oversee and collaborate with staff.
  • A history of successfully generating new revenue streams and improving financial results.
  • Active fundraising experience. Excellent donor relations skills and understanding of the funding community.
  • Previous success in establishing relationships with individuals and organizations of influence including funders, partner agencies and volunteers.
  • Solid organizational abilities, including planning, delegating, program development and task facilitation.
  • Strong financial management skills, including budget preparation, analysis, decision making and reporting.
  • Strong written and oral communication skills.
  • Strong public speaking ability.
  • Strong work ethic with a high degree of energy.
  • Ability to work effectively in collaboration with diverse groups of people
