Job Description

The event coordinator supports the growth of the National Ability Center’s programs through the successful production of Red, White & Snow. The primary function of this and every other job at the National Ability Center is to ensure that each member, guest and visitor of the National Ability Center receives the highest caliber of service. 

Core Tasks and Responsibilities

  • Support with the planning and      execution of National Ability Center’s signature fundraising events, Red,      White & Snow and all guild events.
  • Assist in the coordination of volunteer event committees, including member recruitment, sub-committee   assignments, and administrative support
  • Event Specific assignments –  managing expectation of different constituents, e.g. chefs, vintner hosts, vintner dinner volunteers, as well as internal partners e.g. volunteer manager.

  • Planning process includes plan B  and C
  • Track and reporting platforms to include One Cause, Greater Giving, Sales Force, Excel
  • Support corporate donation tracking and fulfillment of benefits
  • Efficiently and effectively  manage event registration (Maintain and manage database(s) and files, track admissions purchased by attendees and admissions allocated to event sponsors      and gather guest names, produce reports reflective of current event      totals, Train and supervise event registration volunteers)
  • Ensure high quality donor data      is maintained for all event guests and donors including but not limited to database entry and notes – Sales Force, One Cause, Greater Giving
  • Assist in the full cycle of      donor engagement, including prospect identification, data and relationship  management, cultivation, solicitation and stewardship
  • Ensure accurate and timely      tracking of contributions from and acknowledgement to individuals and corporate supporters
  • Promote opportunities fordonors and partners to engage with National Ability Center programs and  events
  • Develop vendor relationships and community supporters to help minimize expenses for National Ability      Center event activities
  • Recruit, schedule and supervise high school and college volunteers and interns to support the events  department
  • Support requests for outreach  and public speaking event promotion as needed
  • Deliver all National Ability Center program and events with safety as a first priority, including      emergency plans, safety personnel, and equipment
  • Participate fully and      strategically as a member of the events team
  • Other duties as identified

Position Reports to Director of Events 9 months and 3 months of the year to the CEO.

 Core Knowledge and Qualifications

  • Bachelor's degree in Business, Hospitality, or equivalent experience.
  • At least 4 years of event management experience required
  • Excellent interpersonal communication, relationship building and stewardship skills; ability to personally connect with, network and engage diverse groups of internal and external stakeholders
  • Ability to organize and manage multiple priorities
  • Excellent attention to detail
  • Strong commitment to delivering  high-quality work aimed at results. 
  • Accountable to organizational   and personal goals and objectives
  • Demonstrate ability to work productively and collaboratively within a team
  • Flexible with a strong work ethic 
  • Demonstrate entrepreneurial spirit to accommodate multiple responsibilities and shifting priorities
  • Demonstrate history of responsibility, dependability, and maturity
  • Ability to positively receive and provide job coaching for personal development
  • Proficiency with Microsoft Office, Sales Force, Greater Giving, and experience with database management. 
  • Web and social media as applied to fundraising and development a plus
  • Valid Driver’s License; must verify own auto insurance
