Job Description

To provide administrative and project support to the President/CEO. To provide a courteous and helpful reception to individuals contacting the Chamber/Bureau, whether in person or by telephone and to respond to their requests for information personally, or by directing them to another staff member for assistance.

Essential job functions include but are not limited to:

  • Organize and coordinate all aspects of meetings as directed by President/CEO, such as Executive Committee and Board of Directors meetings. This includes preparing packet materials in coordination with staff, calendaring, communication, location selection, menu negotiations, agenda development, material distribution, and follow-up reports including minutes, motions, and attendance records.
  • Develop an annual calendar with the direction from leadership that outlines all key events and milestones; includes coordinating meetings for President/CEO and overseeing their calendar.
  • Assist with scheduling, communication, implementation, and recording of minutes for marketing council meetings. This also includes annual solicitation for membership participation on committees.
  • Assist Vice President of Operations & Culture to maintain clean and orderly shared space, including conference rooms, lounge, and kitchen; coordinate supplies including coffee, paper projects, and cleaning supplies. 

Qualifications include but are not limited to:

  • Strong organizational, verbal, and written communication skills, including business writing, strong phone etiquette skills, documentation (meeting minutes), and copy editing.
  • Extremely proficient in the use of Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. Additional skills in Adobe Acrobat and an understanding of Member Database (CRM) are a plus.
  • Must have strong business ethics and understand the confidential nature of the information that will be handled.
